Schedule Linked Files

We can schedule elements that are in linked files but there isn't a schedule that is only interested in telling us what linked files there are. We can determine which files are linked easily enough while working inside Revit. What if we want to document what files are linked into our model and include this information on a sheet? We can take advantage of the addition of Grids and Levels as elements we can schedule in Revit 2014.

If we assume that all projects will have levels and probably grids a schedule that is assigned to one of those categories can be manipulated to look like it is just a schedule of linked files. Then we can combine that with a Starting View if we want to see it each time our project is opened. Add the schedule to a general information sheet and it can be part of our documentation too.


I created a schedule that includes the fields for RVT Links and at least one for Grids. In this example I used Grids to drive the schedule but Levels are probably a better choice.


When we load a linked file we can supply a unique "Name" value. When we use Reload From or Reload later to update the model we can revise the "Name" parameter to show the current version/date.


Make a custom titleblock family and add the Project and Client related parameters as desired. Load the family and create a new sheet using this special titleblock. Add the new schedule to the sheet. To use this as a starting view activate the Manage ribbon and click the Starting View button. Choose our special sheet view as the starting view.


I used the Clear Cell tool, new in Revit 2014, to remove the link between the schedule name and the header text. This allows us to call the schedule something meaningful in the project browser and show something else in the header of the schedule on the sheet, as shown in the first image in the post. Since schedules can be on any number of sheets it is an easy matter to place it on additional sheets if desired.

Hiding Columns in Schedules

We can hide a column if necessary. Hopefully that's not a surprise. Each field in a schedule has a parameter called Hidden Field, available when we are looking at the Formatting tab in the Schedule Properties dialog.


We can also right click on a column while editing a schedule, in a schedule view, and choose Hide Column.


We can use right click to Unhide All Columns but it will reset them all, as the name implies.


If we use this on more than one column and only want to restore one of several we need to return to the schedule properties dialog and the formatting tab to uncheck the Hidden Field parameter.

View References

You may recall earlier post about this relatively new feature? I also mentioned how the 2014 Sample Project file uses them. Hopefully you've found them useful in your projects by now. This post is how I imagine they could expand on the concept.

It's a common situation to need to refer to common details within the context of a schedule, like this.


I think we'd need a new Type of Parameter called View Reference. We'd pick it from the list when we add a parameter to a schedule.


I imagine the schedule interface getting this addition when we click in a field that has the view reference type of parameter assigned.


My goal is to tie a detail view reference to an actual view so that such information is really connected together logically. It doesn't really matter to me if the end result looks like what I've mocked up as long as the end result is better integration of the information.

Workaround Alert!

In the meantime, one way to deal with this issue (without my wish being granted) is to use schedule keys. Start by creating a schedule key(s) for each detail type that needs a reference. It may require additional parameters. It sure would be nice if we could use Shared Parameters for them too, but that's another wish list item.

We fill out the key with all of the detail reference combinations we will have. In a door schedule we can choose each detail for each condition from those listed in the key. Not hard and a bit more reliable than typing them manually for each door. At least this way we are picking from a prepared list.


Technically if we've entered one value for each detail reference we can just pick from the previous entries without the schedule key. That's not really the problem, just one aspect of it. It's the need to update all of the detail references if something changes to the sheet numbering or detail numbering on the sheet, for every instance it's been applied to a door.

Well, may wishes come true?!!?

Schedule New Row

Despite the recent improvements to schedules I find myself wishing for a subtle improvement to the Insert > Data Row feature. Paul Aubin commented on this at the Central States Revit Workshop during his Friday session for Interiors. I'm not alone, and the people in his class were on our side too.


The majority of the time we are likely to use it to insert a new Data Row. Since the Insert Above and Insert Below only is relevant or available when working on cells in the header they are far less likely to be used. I think Data Row ought to be a separate button. The other two options could appear to the side and as two buttons, one above the other, if we click on a cell in the header.

The current process adds clicks to what used to be a single click experience. Just say no to more clicks, it's a clicktastropy!

Two Lines in Schedules

You may be aware that we can force a schedule field to use a new line by pressing Shift + Enter. This permits you to enter new information on a second line but once you finish editing the cell Revit will only show the single row. When the schedule is placed on a sheet you'll see both lines or how ever many you force it to use.


If you do this and need to edit the information again you'll need to use the Left Arrow key to advance the cursor to the next line(s). It's a little quirky. With the lack of fidelity between sheet and schedule editing view you'll also have to experiment with the width of columns to get them look correct on sheets.

Hopefully its obvious but I'll mention it anyway, this Shift + Enter only works on fields that we type values into not those that are calculated or based on other value supplied by the elements themselves, like Family, Type, Height, Width etc. Technically you might be able to enter something but it will still have to provide an acceptable result to the family itself.

Schedules Can Include Linked File Information

My reply to a thread at AUGI this morning prompted me to post this. I've probably mentioned this in the past but it's easy to overlook. When you use a schedule that includes elements that are in linked files you can also include two parameters for the linked file. It starts by checking the option to Include Elements in Linked Files. Then you can choose the drop down list Select available fields from:


Choosing RVT Links will provide two parameters: File Name and Name (a value you can control/change). The following image is a little mockup of windows that are both in the host file and in a linked file. The issue expressed in the AUGI thread is figuring out which file incorrect windows are in so they can be replaced. In that situation there were many linked files so it wasn't as easy as opening up one linked file.

Schedule Name and Header

A few years ago (Aug 08) I wrote a post that explained how to break the relationship between a schedule's name and its header. With Revit 2014 that approach is no longer necessary. I can just use the new Clear Cell button on the header text.


Now the schedule header can be something else and the name we see in the Project Browser can be something else. If you rename a schedule the header will match that name at first, or vice versa. If you click in the Header cell, click Clear Cell and the value is removed but the view name is not. Now put the name you really want in and you can alter either without affecting the other.

We can't use Project Browser organization on schedule views yet but we can control the naming a bit more easily now with this technique.

Revit 2014 New Categories in Schedules

Earlier this month I mentioned that we can create schedules for grids and levels. Those two categories are just a few of the categories that a schedule can see now.

These additional categories: Generic Models, Entourage, Structural path and area reinforcement, Structural Fabric Area, Structural Beam Systems, Detail Items, Pads, Levels (see previous post), Grids (see previous post), Architectural Columns and Roof Soffits.

In addition to new categories we can also include the parameters “Phase Created” and “Phase Demolished” in our schedules of model elements. It has been frustrating that such an important aspect of Revit has been overlooked for so long in schedules. Glad to see it is overlooked no more...

Revit 2014 - Schedule Grids and Levels

Revit 2014 has added grids and levels as valid elements that a schedule can be based on.



I've not personally needed to schedule them for documentation purposes but I have wanted to do so many times just so I could analyse a project's datum. For example when someone says their level has "gone missing" a schedule of levels will quickly tell me if it is still there. Now I know that it is an issue with the extents of the level as opposed to someone deleting it entirely or perhaps assigning it to a workset that isn't open or visible.

I've seen a few offices that provide a "Storey" summary of their project on their general sheets, along side code compliance information. A level schedule can help provide this without resorting to text and lines that are not tied to the model data at all.

Mentioning worksets, it is worth noting that is not an available schedule field for a level or grid, it would be if it could be part of their schedule too.

Tables of Data in Revit

One of the more subtle things that the new schedule features allow in Revit 2014 is creating a table of data that may not be tied directly to elements within the model. For example residential projects that I've worked on in the past were required to document how the proposed design or remodel fits within the property boundaries and required setbacks, or stated another way...zoning compliance. In the past I've written about creating tables using a family to accomplish this. Now we can do this, all within the schedule header itself (notice I used Comic Sans?).



The Revit Clinic posted an example of this for jamb conditions yesterday, check it out! These are the steps their post provides:

First, create a new schedule and either choose a category you do not have in your project, or alternatively filter the schedule so nothing displays in the body section.

Then under the Schedule Properties > ‘Appearance’ tab, un-check ‘Show Headers’. Now you unmerge the default title row and add additional rows, text, parameters, images, shading, etc. And you still get the specific control to resize the column and row dimensions.

Two tips:

First use the ‘Clear Cell’ tool to remove the default schedule view name. You can then use that cell to enter any data you wish.

Second, set up your cell sizes before adding new rows. The new rows will use the previous row for cell number, size and formatting:

Schedule Column Width

In my griping about schedules in my previous post I mentioned (in an addendum) that we get a new feature in Revit 2014 that provides some measure of control over column width. I decided it worthy of its own mention so here it is.

The Revit 2014 Modify Schedule/Quantities ribbon interface now looks like this.


When you select a column or columns you'll get this Resize button which will bring up a dialog, much like Excel does.


This means we can at least enter a specific value for column width. Yes we can make sure one column is exactly the same as another. We still have to travel from schedule to schedule to make it happen but it is more control.

Btw, bummer... in 2014 we've also lost the ability to "double click" on the vertical column boundary to automatically resize the schedule columns.

If you know you will need several schedules to report information but filtered differently you can save some time if you create the first and then duplicate the schedule, adding filters afterward. In some cases it might be less work to toss out existing schedules and duplicate/filter again than fixing the existing columns across all the schedules. Your mileage may vary

Revit 2014 Schedules Pending Gotcha

Revit has always treated the schedule view for editing as separate from the sheet representation, at least for column width adjustments. This always made sense to me. I should change the width of columns on a sheet where I can see the impact of the change. When I am editing a schedule and I want to see a bit more or less of a column I could change it freely without an impact on a sheet that shows the schedule.

Everything changes with Revit 2014 because when you change a column width in either place, a sheet or the view itself, it changes in the other. This is, as my Spanish speaking friends say, Muy Mal!! Ay Caramba! That's probably too polite?

I think it's safe to say that we've all wished for more control over column width from one schedule to the next. Imagine four door schedules, filtered by floor on separate sheets. Ideally we'd like the columns to be uniform widths from schedule to schedule. So we resort to tricks like an annotation family that provides the "columns" we want and we drag columns over until they cover the "column lines". Then we either delete the guide or "bury" it in a titleblock family with a yes/no parameter to control its visibility.

This enhancement does not help that situation and worse because of the legacy behavior and the assumptions that users will having as they begin to use 2014 we will see lot's of, "Why are my schedules changing constantly?".

Yes we can just create "working" schedules to deal with data entry and "sheet" schedules for documentation but it is unnecessary redundancy, we've got enough of it with other views already. I'm not looking forward to this "feature" getting in the wild.

Added 4/12/2013:
There IS a new Resize button for columns and a dialog appears that you we can use to enter a specific width. This means you can ensure that specific columns have the same width but it is a manual adventure, from column to column and schedule to schedule. It does work on multiple column selection so we can apply the same width to several columns at once. I believe the API does not provide access to this yet.

OmniClass as Criteria

I heard mention of Omniclass during Autodesk University a few times last week. Each component (loadable) family in Revit has a pair of parameters built for OmniClass. What is that you say?

Lifted directly from their web site:
    The OmniClass Construction Classification System (known as OmniClass™ or OCCS) is a classification system for the construction industry. OmniClass is useful for many applications, from organizing library materials, product literature, and project information, to providing a classification structure for electronic databases. It incorporates other extant systems currently in use as the basis of many of its Tables – MasterFormat™ for work results, UniFormat for elements, and EPIC (Electronic Product Information Cooperation) for structuring products.
Revit supplies the OmniClass Number and the related OmniClass Title for each family category.


It hasn't quite reached full citizenship in Revit because system families do not yet offer an option for assigning them OmniClass values, neither do rooms or spaces. You can certainly add your own shared parameters to do it but there won't be any linkage to the same table of values as provided in the image above, that's only for component families.

Revit has also always offered the UniFormat Assembly Code and Description, not for rooms or spaces either though. These two systems both provide a way to classify the essence of an element in the model, like the Dewey Decimal system helps to organize books in a library to some degree. If we are careful to assign appropriate values to the content we create we'll find we can harness them to enhance our experience with using schedules and filters. That's completely apart from the downstream possibilities of using it to help define specifications with tools like e-SPECS or BSD LinkMan.

Try hard to remember to assign a value for OmniClass and the Assembly Code so you and others can take advantage of them later.

Scheduling Inequity for Ducts

If you examine the properties of a duct you'll see a parameter called "Reference Level". Do the same for a Duct Fitting and you get a parameter called "Level".


If you choose to create a schedule of ducts or duct fittings a fairly obvious way to sort them is by the level or floor they are related to. Oddly enough there is no access to either Reference Level or Level. Some other elements have "Associated Level" offered as a valid schedule field, not ducts or duct fittings...not duct systems either.

Revit has been plagued with seemingly arbitrary restrictions on what can appear in a schedule from the beginning. For ducts I can see where a riser that spans several floors might not have a very meaningful "reference level" value but it does have one, so I think it ought to show up in a schedule. In fact I frequently realize that a duct references the wrong level because I placed it in a 3D view, particularly risers. If that showed up in a schedule I'd have another chance to catch it and adjust it accordingly.

In my over-simplifying opinion, if a Revit element has a parameter value in the properties palette it ought to be able to show up in a schedule too.

Pushing Parameters Around

Alternate title, "Getting What I Want"

I wanted to show a parameter for Mounting Height. I needed it assigned to a variety of elements. This isn't hard for families that are not hosted. Face-based families on the other hand seem to know what their "Elevation" value is but they are uninterested in sharing that data with a schedule. It's just not listed in the Available Fields list. Mean Revit!

This is a story of a white knight coming to the rescue, or rather Whitefeet coming to the rescue.


Obviously not the cat, I must mean the tools that Mario Guttman has made available to us via his alter ego "Whitefeet Tools". To get what I wanted I created a shared parameter called Mounting Height and added it to my project. For this post and this example I've assigned it to the cateory Data Devices. Once that's in place the steps are pretty easy (apart from getting the tool installed).

You either select all the devices first or just tell the tool to apply it to everything in the model. You start by running the Parameter Tools.


Next you click the Math Calculation button.


Now you've got to fill in some blanks and click a button.


When your information matches the image (change the category appropriately, I show Security Devices for example, Obviously this picture and the next one don't sync up, taken at different times).

Once the routine runs you can close the open dialog boxes and check the results. Cool eh?

Scheduling a Survey

Please respond to the new survey regarding schedules for Revit if you have any notion that they could be better.

David Conant wrote something that appeared on Inside the Factory today called, "Revit Schedules, A Love Hate Relationship". He also wrote the following text at the user forums Revitforum.org and AUGI.

Schedule Features Not Available

When you examine the Appearance properties of a schedule, say for doors or windows, you are teased with a couple options that are inaccessible.


Those are only accessible when you create/edit a title block family and deal with a Revision Schedule.


Only revision schedules can fill out Bottom-to-Top and/or have a fixed schedule height assigned, sorry!

[Edit: Oh, when I highlighted the images I included the check box for "blank row before data", obviously that is available in either schedule situation. I should have limited the width of the box.]

Schedule Concepts - Calculated Values and Headers

Prompted by a few questions read at RevitForum.org and AUGI in the past few days I decided to record another short video. I used ducts and the notion of figuring out how much they cost based on a cost/ft scenario. The pricing you'll see in the video and screen captures are quite a bargain so you might want to rush out to buy some duct if you can get a supplier to match them?

The concept discussed in the video for calculated values relies on the stock Cost and Length parameters, Cost x Length. The assumption is that the price entered for Cost is the cost of the duct per linear foot (easily applied to metric values). None of this presumes it's the appropriate way to price them, the concepts can be applied to anything else.


The other concept demonstrated in the video is adding a group header to several columns in the schedule. The trick to getting a group header is how you go about selecting the columns. When you click in a header field Revit thinks you want to edit the value. You need to click and drag to select the other columns so you don't just select the column header you click on first...click and drag...then let go of the mouse button to finish. Watching the video is probably more "obvious". Not hard to do, just subtle. Kind of like learning to drive a manual transmission.
